About the Position:

This position is the Strategic Assistant to Williamsburg Academy of Colorado's Executive Director.
At Williamsburg Learning (WL), strategic assistants are key team members who partner with our executive leaders to provide critical task, communication, and project-related support. This multidimensional role, which extends beyond the traditional “executive assistant” title, blends key abilities of time management, project management, and administrative support to free up executive time for high-level thinking and activities that will drive organizational growth.
A skilled strategic assistant, being the right fit with an individual they support, will perform a variety of tasks that may include the following:
Provide Support and Assistance to the WAC ED
- Supports the WAC ED with various projects and duties such as
- Monitoring student attendance
- Reviewing student progress and supporting Academic Engagement/Academic Probation
- Scheduling meetings with parents
- Scheduling and coordinating state assessments
- Supporting data collection and reporting
- Keeping the WAC calendar up to date
- Manage Asana for the executive and keep it up to date at all times. Review, prioritize, respond to, and organize items the executive must weigh in on.
- Understand, prioritize, and connect the executive’s long-term projects with immediate tasks. Hold daily accountability check-in meetings as needed.
- Manages own time with little supervision. Exercise good judgment when answers to questions or additional resources are needed.
Written Communication
- Handle all communication and tasks discreetly, sensitively, and efficiently.
- Updating WAC handbooks and documents
- Facilitate communication with staff and interface with colleagues and clients on a regular basis in a warm and professional tone.
- Other written communication projects as needed.
- Maintain strict confidentiality on all sensitive information that is accessible.
Project Support
- Builds out complete projects in Asana for anything the executive is working on. Think through an entire project from start to finish and anticipate all the details and communication that needs to happen to keep it on track.
- Assist in the creation of new systems, including documents, resources, templates, communication rhythms, surveys, schedules, spreadsheets, etc.
- Assist with recurring projects and applications such as reports to BOCES and Site Visit management
Agenda Management & Meeting Scribe
- Attend periodic recurring or ad hoc meetings as requested by the executive.
- Create agendas, take notes, and complete follow-up action items as needed.
- Hold a regular 1:1 with the executive based on needs.
Administrative Responsibilities
- Liaison with other team members as needed around joint meetings, events, and projects.
- Assist with slide deck creation for presentations or the development of other presentation materials.
- Periodically schedule travel and make other travel arrangements
- Other duties as requested

Proficient and fluid with technology such as G-Suite, Zoom or similar web conferencing platform, and Asana or similar task management system.

Professional, courteous, and clear verbal communication. Fast and accurate (grammar/spelling) written communication. Great listening skills.

Excellent organizational skills; detail-oriented and thorough. Natural propensity for time management and task follow-through.

Project management experience, or natural ability for managing projects.
