Job Title: Law Office Receptionist/Legal Assistant

General Job Description:

The receptionist/legal assistant at Samuel, Sayward & Baler (“SSB”) is the first impression of SSB. They are responsible for greeting clients, vendors, and guests, both on the telephone and in person. The receptionist/legal assistant is expected to answer telephone calls and emails promptly, and seat clients and guests in conference rooms quickly and professionally. Additionally, the receptionist/legal assistant will offer refreshments to clients and guests. Other responsibilities include supporting the attorneys and paralegals; sorting all incoming mail and posting mail at the end of the day for mailing; opening new client files and marking files in Clio, and receiving and processing payments from clients.

The receptionist/legal assistant will report directly to the Law Office Administrator, though they may be given tasks to complete by the attorneys, paralegals, and other administrative assistants who work at the Firm.

Primary Duties and Responsibilities:

  • Greeting clients and visitors and answering visitor inquiries
  • Answering and routing incoming calls on a multi-line telephone system
  • Maintaining conference rooms, lobby, copy areas, and kitchen
  • Seating clients or guests in conference rooms; serving coffee or tea to guests
  • Checking inventory of supplies and ordering
  • Scanning, photocopying, faxing, and filing documents
  • Collecting, routing, and posting mail and hand-delivered packages
  • Opening new client files both physically and in legal software programs (Clio and Timeslips)
  • Processing payments in legal software (Timeslips)
  • Update various forms for effective correspondence, and perform data entry and general administrative tasks.

Secondary Duties and Responsibilities:

  • Transcribing dictation and drafting letters for the Attorneys and paralegal staff
  • File maintenance
  • Supporting the Attorneys and paralegal staff
  • Supporting the Law Office Administrator and Client Services Manager

Qualifications for the Job:

  • High School Diploma
  • Associate’s/Bachelor’s degree

  • Forward thinker
  • Ability to operate multi-line telephone systems and office equipment such as computers, printers, scanners, copiers, and video conferencing equipment.
  • Excels at using Microsoft Office Suite and Zoom
  • Understands and is adept at using legal software such as Timeslips and Clio
  • Strong spelling and grammar skills
  • Familiarity with legal terms a plus
  • Attention to detail
  • Positive, upbeat attitude
  • Patience in dealing with difficult visitors
  • Dependability
